Connect the App to QuickBooks Online

This page explains how to connect the Reliable Tire Company mobile fleet management application (“Application”) to your Reliable Tire QuickBooks Online (“QuickBooks”) company. The same procedure is followed to reconnect the Application if it was previously disconnected.

Connecting the Application authorizes it to read customer and project records from QuickBooks and to create new walk-in customer records and project records in QuickBooks as part of normal field operations. The Application does not modify, delete, or access any other QuickBooks data.

Who can connect the Application

Only a user with administrator access to the Reliable Tire QuickBooks Online company can connect the Application. QuickBooks Online enforces this restriction during the authorization process; a non-administrator account will not be able to complete the connection even if presented with the connection page.

How to connect

  1. Sign in to the Reliable Tire manager dashboard using your manager credentials.
  2. Open the dashboard’s integrations or settings area and locate the option to connect QuickBooks Online.
  3. Choose Connect to QuickBooks. The Application opens Intuit’s authorization page in your web browser.
  4. Sign in to QuickBooks Online with administrator credentials for the Reliable Tire company. If you are already signed in to QuickBooks Online in your browser, you may be prompted only to confirm your identity.
  5. Review the access scopes that the Application is requesting. The Application requests access to read and write customer and project records under the Accounting API only. No payment, payroll, or other categories of data are requested.
  6. Choose Connect to authorize the Application. QuickBooks Online redirects back to the Reliable Tire manager dashboard.
  7. The dashboard confirms the connection is active. The Application will begin synchronizing customer records on its next scheduled cycle (every thirty minutes) and will be available for driver and shop-tech use immediately for creating walk-in customers and projects.

After the connection is established, QuickBooks Online issues an access token and a refresh token to the Application. Both tokens are stored in encrypted form using Google Cloud Secret Manager. The Application uses these tokens to make API calls to QuickBooks on Reliable Tire’s behalf without re-prompting the administrator for credentials.

Reconnecting after a disconnect

If the Application was previously disconnected (either intentionally through the QuickBooks Apps page or because the refresh token expired without being renewed), the connection can be re-established using the same steps above. There is no separate “reconnect” flow; the connect flow handles both initial connection and reconnection.

When reconnecting, the Application will resume normal operations as soon as new tokens are issued. Customer records that already exist in the Application’s local store will reconcile with QuickBooks on the next scheduled synchronization. No data is lost during a disconnect-reconnect cycle.
